Lawrence Trail Hawks Board Meeting June 18, 2019
In attendance: President Cara Combs, Vice President Lisa Ball, Treasurer Josh McVey, Secretary Kara Baden, Tamara McEwen, Dezert Abrams, Mary Ann Frevert, Shari Hicks, John Knepper, Jeff Beecher and Sherrie Klover
Cara called the meeting to order at 7:07 p.m.
Financial report-Josh: Total Balance: $48,399.10 We made $3,402 for Pi Day We made $628 for Skyline Operating Budget: $23,000 We are going to order replacement for our tents. IRS Link for the Trail Hawks
Night hawk update-Mary Ann & Shari: Registered Runners 83 for the 50K 20 for the 20 milers 50 for the 10 miler Everything is ordered. We need volunteers for all the overnight shifts. In need of a lead Aid Station Captain and medic for the race. Clean Up Day for June 22 to prepare for the Night Hawk The county is going to put the connectors on the trail in the maps for the Emergency for responders in the event of an emergency. We got disposable cups for runners. Josh is going to treat the tents for the bugs for the night Hawk
Birthday Run-Cara: It’s August 10. Still working on alternative course and making it an evening run.
The Hawk-Sherrie: $22,000 in revenue right now, $3,000 ahead of last year 10 spots left for the marathon, 33 spots remaining for the 50, and 27 spots left in the 100 We just finalized swag. We made the decision to go to a different vendor for bags. Cutting the budget and make it efficient. $3,000 to $5,000 for medical for them to be there for the whole race. Price increase for Mile 90 Photography. We are going to have another tracking mat at West Park Road to help keep track of the runners. Runner’s safety is a huge priority of the race.
Shoreline Shuffle-Kara: At this point it will probably be another Skyline Shuffle due to trail conditions. Will be submitting forms to Connor as soon as possible.
Sanders Saunter-Sherrie: BuddyCheck22 is the beneficiary this year. Volunteer registration will open up soon.
Newsletter-Cara: The first newsletter went out. We hope to send out more now that we have templette. We had two new subscribers. We had 50% open rate in the first 24 hours. 28 clicks to the different links. We had a lot of engagements with our different posts about the newsletters.
FLAT tabling-Cara: We had the chance to come and table for FLAT (Friends of the lawrence Area Trails) and it was a great opportunity to keep connected to them and get our name out a little more.
